Can an answering service follow up on unsold estimates?

An answering service can pick up the inbound overflow and the after-hours no-heat call. It cannot own the outbound callback on an unsold estimate. That job is a same-hour check-in from the estimator’s notes, then days 2, 4, 7 and 14, with a logged reason for every yes and no.

This is the split for a 2-to-10 truck HVAC, plumbing or electrical shop on ServiceTitan, Jobber, Housecall Pro or Workiz whose change-outs sit open after the visit, and whose after-hours line still has to get answered.

What each job actually is

Inbound answering is the live pickup when nobody in the shop can take the call. Estimate follow-up is the outbound list of quotes that already went out.

The answering service wins the inbound rows. The callback wins the outbound rows.

What an answering service does well

Ruby’s HVAC page (read 2026-10-08) is built for missed emergency calls, after-hours gaps, and appointment scheduling while the crew is on a job. Live receptionists, 24/7, including weekends and holidays. The same page puts average answer time under 10 seconds.

Ruby plans that day: $250 a month for 50 receptionist minutes, $395 for 100, $720 for 200, $1,725 for 500. The plans page does not publish an overage rate. Ruby FAQs say extra minutes bill at the plan’s overage rate, inbound is 24/7, and outgoing call assists run Monday through Friday, 5 a.m. to 6 p.m. Pacific.

Ambs Call Center’s HVAC page (read 2026-10-08) defines the job the same way: incoming calls when the team cannot take them, after hours, weekends, and peak season. Live operators take messages, dispatch true emergencies, and schedule service appointments from the company’s instructions. Ambs pricing that day: live people at $149 a month for 100 minutes, $330 for 250, $600 for 500, $1,195 for 1,000, excess $1.29 a minute on the 100-minute plan, plus an $85 setup fee. Ambs says they answer 80 percent of calls in three rings or less.

On r/HVAC, after-hours still looks like an answering service rolling a tech. That inbound pickup is real. Keep it.

What estimate follow-up actually is

An unsold estimate is still open until someone sells it, dismisses it, or the customer approves it. How to follow up on HVAC estimates that haven’t closed is the habit: pull the open list, call the same business hour, then days 2, 4, 7 and 14. How many times should a contractor follow up on an estimate? is five live phone attempts, then a logged ending.

ServiceTitan’s Follow Up screen (updated 2026-07-11, read 2026-10-08) is that list. Unsold Estimates, filter Open, sort by value. A person sells it from the screen, or logs a next date. The screen does not dial. On r/HVAC, shops still point techs at that tab for unsold estimates. Silence is not a no until you have asked.

The call is a check-in, not a second sales visit. Read the estimator’s notes first. Confirm the file arrived. Ask what they are actually deciding: price, the spouse, a second bid, financing, or a repair instead of the change-out. Book the yes. Log the no so next month’s list can be counted. Tonnage, line-set, permit, or a different outdoor unit goes back to the comfort advisor.

Leave the FSM reminder emails and texts on. They never forget. They do not pick up the phone.

There is no reliable public number for how much this raises close rate. Score it from your own FSM: open this month, called within a business hour, booked after a call, lost with a reason.

Where the answering service stops

Ruby will place an outbound call if you ask. Ruby’s outbound page (read 2026-10-08) says you submit a request in the app or dashboard. They aim to call within 30 minutes, Monday through Friday, 5 a.m. to 6 p.m. Pacific. Outside those hours, next business day. A batch of two to about 30 names by email may wait up to 48 hours. Minutes count toward the receptionist bundle, including the follow-up email they send you. Ruby’s outbound follow-up guide (read 2026-10-08) lists quote and estimate follow-ups as a type of request you can write. You still type the name, the number, and what to say. Nothing on that page pulls Unsold Estimates from ServiceTitan.

Ambs is clearer about the edge. Their pricing FAQ (read 2026-10-08) says they are not a fit if you want outbound telemarketing, telesales, outbound appointment setting, or a personal virtual assistant. Work time can include calling your staff or a customer as part of message delivery and dispatch. That is not a cadence on last week’s change-outs.

The answering service also does not sit in the estimate. They do not have Luis’s notes from 18 Maple. They cannot tell a cheaper bid left out duct and permit. If they reply STOP, or they ask you not to call, stop that day. The FCC (updated 2026-02-27) prohibits telemarketing calls to the home before 8 a.m. and after 9 p.m. local time, and says telemarketers must comply immediately with a do-not-call request. What most shops actually run

1. Answering service on inbound, owner on the list

Forward overflow and nights. Work Follow Up, quote reminders, Pipeline, or Pending every morning, highest dollar first. Right answer when someone is at the desk. It breaks the first week the owner is in attics until 7.

2. The estimator calls from the truck

Same-hour check-in from the person who wrote the quote. Best first call. It stops the afternoon they have three more houses. The answering service still takes the inbound line.

3. Hire someone whose job is the list

Job posts from 2025 list a sales VA for estimate follow-up at about $700 a month and an estimator or lead converter at about $400 a month. You still hire, train them on your price book, and check that they log the reason. Keep the answering service for after-hours.

4. Use software that builds the daily call list from open estimates

Leave the FSM and the answering service in place. Pull open estimates onto a call cadence so the office, or a caller working as the shop, actually dials. How to tell this week

The split is working when last night’s after-hours calls have a live answer or a dispatch, yesterday’s unsold change-outs have a same-day callback, thinking and financing have a next date, and lost jobs have a reason. If the inbound line is covered and the open list only grows, the answering service is doing its job and nobody is calling the quotes.

Open last month’s estimates in the FSM. Lay the open ones next to the phone. Keep nights forwarded. Start with the open list. It already exists.
