How soon should you call a customer back after sending an HVAC estimate?

Call the same business hour you send the HVAC estimate. Confirm it arrived and ask if they have a first question. Wait until the next morning only if you sent it after hours. Waiting a day or two to seem less pushy is already late. The other bid is in their inbox.
This is the first-call timing for a 2-to-10 truck HVAC shop whose change-outs, heat pumps, and furnace quotes go quiet after the visit.
What “how soon” actually covers
The clock starts when the estimate leaves the shop. These jobs have different clocks.

The soonest close is still in the house. On r/hvacadvice, shops that leave a number and email the quote later watch the homeowner shop it. This page times the callback for the ones that left unsigned.
A new inbound lead is a different job. Harvard Business Review’s March 2011 article, The Short Life of Online Sales Leads, measures the first reply to a web form. After a replacement visit they already had a walkthrough. Treat the first call as a receipt check.

One CSR job post for this work asks for a callback within 30 minutes, then days 2, 4, 6 and 7. Same business hour is a cadence a small shop can run. Leave the FSM emails and texts on.

If nobody answers, leave a short voicemail with your name, the shop, the address, and a callback number. Do not pitch into the mailbox. Text only if they already texted you on this job. Peak season does not change the hour. If the FSM shows they opened the file, call now.

The FCC (updated 2026-02-27) prohibits telemarketing calls to the home before 8 a.m. and after 9 p.m. local time, and says telemarketers must comply immediately with a do-not-call request. This is not legal advice. Check with your own counsel.

What each first-call delay actually does
Shops that wait a day or two are following the reminder. Jobber’s Academy (updated 2026-05-28) puts the first quote follow-up email one to two days after send. That is the email clock. The phone clock is the hour it went out.

There is no reliable public number for how much a same-hour call raises close rate. Score it from your own FSM: sent this week, called within a business hour, booked after that call, lost with a reason.

The comfort advisor who was in the house wins the first call when they can make it. A CSR can make it if the notes are in the ticket. One person has to own the hour it went out. Tonnage, line-set, permit, or a different outdoor unit goes back to the advisor.
Four ways shops actually hit the first hour
1. Run the FSM as designed
Work Follow Up, quote reminders, Pipeline, or Pending every morning, highest dollar first. Right answer when someone is at the desk. Today’s sends still have to be called the hour they go out.
2. The estimator calls from the truck
Same-hour check-in from the person who wrote the quote. Best first call. It stops the afternoon they have three more houses.
3. Hire someone whose job is the list
Job posts from 2025 list a sales VA for estimate follow-up at about $700 a month and an estimator or lead converter at about $400 a month. You still hire, train them on your price book, and check that the first call went out the hour the estimate did.
4. Use software that builds the daily call list from open estimates
A newer set of tools leaves the FSM in place, pulls open estimates, and puts each one on a call cadence so the office, or a caller working as the shop, actually dials. How to tell this week
