Best estimate follow-up software for home service contractors?
By the Escloser team · Last updated
The best estimate follow-up software for a home service shop is the field-service app you already run for reminder emails and texts, plus a dedicated follow-up layer only if nobody is calling the open list. Jobber, Housecall Pro, ServiceTitan and Workiz already send the reminders. None of them pick up the phone.
This is the buy for a 2-to-10 truck HVAC, plumbing or electrical shop whose change-outs go quiet, and who is weighing the FSM’s reminders, Hatch, a sales VA, or calling back after hours.
What the job actually is
Estimate follow-up is two jobs. The reminder confirms the file arrived. The callback answers the hold-up: price, the spouse, a second bid, financing, or a repair instead of the change-out. On r/ProHVACR, one shop said their estimate software already sends a day-2 text and an expiry text, and that this is standard. That is the reminder. How to follow up on HVAC estimates that haven’t closed is the call: same business hour, then days 2, 4, 7 and 14.
There is no reliable public number for how much software raises close rate. Hatch’s own HVAC estimate follow-up study (dated 2024-09-23, read 2026-10-10) analyzed 163,212 campaigns and reported a 60% average reply rate. That is replies, not signed jobs. Score it from your own FSM: open this month, called within a business hour, booked after a call, lost with a reason.
Prices below are from each vendor’s own pricing or help page, read 2026-10-10, unless a help article carries an earlier updated date.
| Tool | Cost | Reminder email or text | Who is on the phone | Reason for a no |
|---|---|---|---|---|
| Jobber | Connect, 1 user: $99 a month billed annually, $139 month-to-month. Quote follow-ups on Connect and up | Up to two quote follow-ups, same channel as the quote | Nobody | Not captured |
| Housecall Pro | Basic: $59 a month billed annually, $79 month-to-month, 1 user. Pipeline add-on, no published price | Up to three estimate resends, then decline | CALL on the Pipeline card, if someone clicks it | Only if you write it |
| Workiz | Quote-only. 5, 10 or 30 automation rules on Standard, Pro or Ultimate | Stock template: email 3 days after. You can switch it to text | Nobody | Only if you write it |
| ServiceTitan | Quote-only, per technician. Marketing Pro is a Pro add-on | Follow Up sends nothing. Marketing Pro Unsold Estimates: up to four SMS | A person clicks Call the customer | If you log the follow-up |
| Hatch | Quote-only. Platform fee plus usage, billed monthly per location | Text, email and phone sequences on top of the FSM | AI on the sequence, then a human for the close | A reply in Hatch, unless the CRM writes it back |
| A daily call list from open estimates | Software $149 a month. Managed $350 a month plus a capped 3% | No. Leave the FSM reminders on | The office from a daily list, or a trained caller working as the shop | Logged on the estimate |
Jobber wins the included reminder that never forgets. Housecall Pro wins the visual Estimates board. Workiz wins a pending-estimate automation a small shop can turn on. ServiceTitan wins the Unsold Estimates list a person actually works. Hatch wins the dedicated multi-channel sequence. A call list wins the phone. Nobody wins every column.
Jobber
Jobber’s automations help (updated 2026-08-06) puts quote follow-ups on the Connect plan and up. Two automations. Quotes in awaiting response. Same method as the original quote: a text quote gets a text follow-up. You set the delay, up to 90 days, and the message.
Jobber pricing, read 2026-10-10: Core, 1 user, $29 a month billed annually or $49 month-to-month, with no quote follow-ups. Connect, 1 user, $99 billed annually or $139 month-to-month, and that is the first plan that automates quote follow-ups. Extra users $29 a month.
Jobber wins a shop already on Connect that wants two reminders in the plan. It stops at the phone.
Housecall Pro
Housecall Pro Pipeline (dated 2026-08-06) is the Estimates board. Open a card and you get CALL, CHAT, or EMAIL. Pipeline automations resend a sent estimate, First Follow-Up through Third Follow-Up, then decline it. Quiet Hours holds overnight texts.
Housecall Pro’s pricing page, read 2026-10-10, lists Basic at $59 a month billed annually ($79 month-to-month) for 1 user, Essentials at $149 ($189) for 5 users, and Max at $299 ($329) for 8 users, then $35 a month per extra user. The page is a questionnaire. Confirm the quote for HVAC, plumbing or electrical. Pipeline sits on that page as an add-on with no published price.
Housecall Pro wins the board you can see and three resends that never miss. CALL is there. Someone still has to click it.
Workiz
Workiz’s pending-estimate automation help (read 2026-10-10) is a Marketplace add-on. Enable Automations, open Follow-ups, use the Email follow-up / 3 days after template, or switch it to text. How to follow up on estimates in Workiz is the rest of the click path: Estimates, Pending, highest dollar first.
Workiz pricing, read 2026-10-10, is request-a-quote. The comparison table still lists 5 automation rules on Standard, 10 on Pro, 30 on Ultimate. A new rule does not fire for estimates already sitting in Pending.
Workiz wins a pending reminder a shop can turn on without a second vendor. It stops at the phone.
ServiceTitan
ServiceTitan’s Follow Up screen (updated 2026-07-11) is Unsold Estimates: Open, Not Attempted, Unreachable, Contacted, Won, or Dismissed. Filter Open, sort by value, click Call the customer. The screen does not email or text. How to track unsold estimates in ServiceTitan is that list.
Marketing Pro (updated 2026-07-11) can send an Unsold Estimates SMS campaign, up to four texts, and stop on job booked. A Virtual Agent that texts unsold estimates is in Private Preview as of 2026-09-30 and is not on every account. Do not run it on the same audience as a Marketing Pro campaign.
ServiceTitan pricing, read 2026-10-10, is per technician and request-a-quote on Starter, Essentials, and The Works. Marketing Pro is a Pro add-on with no public price.
ServiceTitan wins the list a person works, and the SMS campaign if you pay for Marketing Pro. Default Follow Up still needs someone at the desk.
Hatch
Hatch’s estimate follow-up page (read 2026-10-10) is the dedicated layer: the CRM marks the estimate open, then a sequence goes out on text, email and phone. AI can answer quote questions in the thread. A person steps in to close. Scheduling and invoices stay in the FSM you already pay for.
Hatch pricing that day: platform fee plus usage, annual plans paid monthly per location, Standard, Pro and Enterprise. No dollar figure.
Hatch wins shops that want every open estimate in a multi-day sequence without a CSR writing each text. The 60% figure on Hatch’s blog is reply rate. Keep the FSM reminders on, and do not run two SMS cadences on the same change-out.
A daily call list from open estimates
Leave the FSM, and Hatch if you have it, in place. Pull open estimates onto a call cadence so the office, or a caller working as the shop, actually dials. We make Escloser, which does this, so weigh that suggestion accordingly. Software is $149 a month and the shop’s own office makes the calls from the daily list. Managed is $350 a month plus 3% of a quote that closes within 30 days of the call, capped at $250 per job.
That is the callback on top of Jobber’s two follow-ups or Housecall Pro’s resends. Should I hire a virtual assistant to follow up on HVAC estimates? is the hire version of the same seat.
If they reply STOP, or they ask you not to call, stop that day. The FCC (updated 2026-02-27) prohibits telemarketing calls to the home before 8 a.m. and after 9 p.m. local time, and says telemarketers must comply immediately with a do-not-call request. This is not legal advice. Check with your own counsel.
What most shops actually run
A 2-to-10 truck shop on Jobber, Housecall Pro, Workiz or ServiceTitan already paid for the reminder. Turn it on. Work Follow Up, awaiting response, Pipeline, or Pending every morning, highest dollar first. That is enough when someone is at the desk.
The estimator’s same-hour check-in is still the best first call.
Hatch on top of the FSM is the shop that wants texts to go out even when the desk is empty. Leave one text sequence. Add the call.
A sales VA, or software that builds the daily call list, is the shop whose open list is growing and whose reminders are already sending. The reminder is not the gap.
How to tell this week
Follow-up software is doing its job when yesterday’s unsold change-outs have a reminder and a same-day callback, lost jobs have a reason, and Friday’s open list is shorter than Monday’s. If the texts went out and the list only grew, nobody called.
Open last month’s estimates in the FSM. Lay the open ones next to the phone. Turn the reminders on if they are off. Start with that list. It already exists.
Frequently asked questions
Does Jobber automatically follow up on quotes?
Yes, on Connect and up. Jobber's automations help, updated 2026-08-06, covers up to two email or text reminders on quotes still awaiting response, on the same channel as the original quote. Core does not include it. The reminders never miss. They do not pick up the phone or write down why the customer said no.
Does ServiceTitan call customers about unsold estimates?
The Follow Up screen, updated 2026-07-11, does not send anything. A person clicks Call the customer, then sells it, logs a next date, or dismisses it. Marketing Pro can text unsold estimates, up to four messages. A Virtual Agent that texts them is in Private Preview as of 2026-09-30 and is not on every account.
How much does Hatch cost for HVAC estimate follow-up?
Hatch does not publish a dollar price. Its pricing page, read 2026-10-10, is a platform fee plus usage on annual plans paid monthly per location, in Standard, Pro, and Enterprise. Usage is contacts, AI conversations, and messaging. Ask for a quote. It sits on top of ServiceTitan, Jobber, or whichever FSM holds the estimate.
Should I turn off Jobber or Housecall Pro reminders if I add Hatch?
No. Leave the field-service reminders on. They are already in the plan and they never forget. Hatch is a longer text, email, and phone sequence on top. Running two SMS cadences on the same open estimate at once is how homeowners get duplicate nags. Pick one text sequence. Keep the call.
Does estimate follow-up software replace a phone call?
No. Jobber's two quote follow-ups, Housecall Pro's three resends, Workiz's three-day template, and ServiceTitan Marketing Pro texts are reminders. Hatch's own HVAC study, dated 2024-09-23, measured reply rate, not signed jobs. The call is still the check-in from the estimator's notes, then days 2, 4, 7 and 14.
