Are automated text reminders or phone calls better for estimate follow-up?

Automated text reminders are better at getting the estimate seen. Phone calls are better at answering the hold-up and booking the job. Leave the texts on. Call the same business hour, then days 2, 4, 7 and 14. Texts-only is the shop with nobody at the desk. Calls-only is the owner at 8 p.m.
This is the split for a 2-to-10 truck HVAC, plumbing or electrical shop on ServiceTitan, Jobber, Housecall Pro or Workiz whose change-outs, water heaters, and panel upgrades sit open after the visit.
What each job actually is
Estimate follow-up is two jobs. The reminder confirms the file arrived. The callback answers what is holding them: price, the spouse, a second bid, financing, or a repair instead of the change-out.
On r/ProHVACR, one shop said their estimate software already sends a day-2 text and an expiry text, and that this is standard. That is the reminder. How to follow up on HVAC estimates that haven’t closed is the call.

Automated texts win the rows that never forget. Phone calls win the rows that need a person.
What automated texts actually do
The field-service app wins the reminder. It is already in the plan, and it does not forget.
Jobber’s quote follow-ups (updated 2026-08-06) on Connect and up email or text the client up to twice, same method as the original quote. Jobber Academy (updated 2026-05-28) puts the first follow-up one to two days after send, then a week later, then before the quote expires. That is the reminder clock. Jobber’s own FAQ on that page says a follow-up email is less invasive than a phone call. True of a receipt check. Not true of the spouse, the second bid, or the financing stall.
Housecall Pro Pipeline automations (dated 2026-08-06) resend a sent estimate, First Follow-Up through Third Follow-Up, then decline it. Quiet Hours holds overnight texts. Open a card and you still get CALL. Someone has to click it.
Workiz’s stock template is email three days after (updated 2024-01-31, read 2026-10-10). You can switch it to text. Marketplace add-on.
ServiceTitan’s Follow Up screen (updated 2026-07-11) does not send. A person clicks Call the customer. Marketing Pro (updated 2026-07-11) can send up to four Unsold Estimates texts and stop on job booked. A Virtual Agent that texts them is in Private Preview as of 2026-09-30 and not on every account. Do not run it on the same audience as a Marketing Pro campaign.
A dedicated sequence on top of the FSM, like Hatch (read 2026-10-10), fires text, email, and phone on a schedule, then a person steps in for the close. Hatch’s HVAC study (dated 2024-09-23, read 2026-10-10) analyzed 163,212 campaigns and reported a 60% average reply rate. That is replies, not signed jobs. Hatch does not publish a dollar price.
Texts win because they land. They stop at the conversation. “Just following up” gets ignored. A receipt check, or “what’s still in the way,” is the useful version. Estimate follow-up email and text templates is the copy.
What the phone call actually does
The call is a check-in, not a second sales visit. Read the estimator’s notes first. Confirm the file arrived. Ask what they are actually deciding. Book the yes. Log the no. Tonnage, line-set, permit, or a different outdoor unit goes back to the comfort advisor.
How many times should a contractor follow up on an estimate? is five live phone attempts: same business hour, then days 2, 4, 7 and 14. How soon should you call a customer back after sending an HVAC estimate? is that first hour. The FSM reminder may already have gone on day 2. The other shop’s call may have too.
On ContractorTalk, one contractor put it: “One simple phone call to ask if they have any questions or if they’ve made a decision is not desperation.” On r/HVAC, techs still say people do not want to feel pressured, and shops still say most homeowners who go another way ghost you. Silence is not a no until you have asked. On r/hvacadvice, homeowners often wait for the shop to call rather than ring back to say they hired someone else.
On r/smallbusiness, shops that text first, then call when the text sits, get a reply the first channel missed. Switching channels is the move. A call that only repeats the text is the awkward one owners skip. A call that asks the hold-up is the one that books or closes the file.
There is no reliable public number for how much a call raises close rate versus a text. Score it from your own FSM: open this month, reminder sent, called within a business hour, booked after a call, lost with a reason.

If they reply STOP, or they ask you not to call, stop that day. The FCC (updated 2026-02-27) prohibits telemarketing calls to the home before 8 a.m. and after 9 p.m. local time, requires an immediate do-not-call honor, and says commercial texts need written consent while informational texts may be oral. Do not run two SMS cadences on the same open estimate. Pick the FSM reminder or the add-on sequence. Keep the call.
What most shops actually run
1. FSM texts on, owner still calling after hours
Leave Jobber, Housecall Pro, Workiz, or Marketing Pro reminders on. Work Follow Up, Pipeline, or Pending every morning, highest dollar first. Right answer when someone is at the desk. It breaks the first week the owner is in attics until 7.
2. The estimator calls from the truck
Same-hour check-in from the person who wrote the quote. Best first call. The text still goes. It stops the afternoon they have three more houses.
3. Hire someone whose job is the list
Job posts from 2025 list a sales VA for estimate follow-up at about $700 a month and an estimator or lead converter at about $400 a month. You still hire, train them on your price book, and check that they log the reason. Leave the texts on.
4. Use software that builds the daily call list from open estimates
Keep Jobber, Housecall Pro, Workiz, or Marketing Pro sending the reminder. Put the open estimates on a call list so someone actually dials, as the shop, from the estimator’s notes. How to tell this week
The split is working when yesterday’s unsold estimates have a same-day call, the FSM text went out, thinking and financing have a next date, and lost jobs have a reason. If the list only grows, the texts are sending and nobody is calling.
Open last month’s estimates in the FSM. Leave the reminder that already exists. Lay the open ones next to the phone. Start there. They already exist.

Do Jobber or Housecall Pro quote follow-up texts replace a phone call?
No. Jobber can email or text up to two quote follow-ups on Connect and up. Housecall Pro Pipeline can resend three times, then decline. Workiz's stock template is one message three days after. Those reminders never miss. They do not pick up the phone, answer the hold-up, or write down why they said no.
Is it pushy to call after the automated text already went out?
A same-hour call that asks whether the estimate arrived is a receipt check, even if a text is also going. The pushy version is a pitch into voicemail, a same-day-only discount, or a second call the same afternoon after they asked for time. Confirm the file landed, ask the hold-up, and book or park a date.
How many automated texts should I send before I call?
Do not wait for the texts to finish. Call the same business hour the estimate went out. Jobber's two follow-ups and Housecall Pro's three resends stay on as the safety net. Five is the phone attempts on top, not five extra texts stacked on the same day.
Should I turn off Jobber texts if I start calling unsold estimates?
No. Leave them on. They are already in the plan and they never forget. Running a second SMS cadence on the same open estimate, like Marketing Pro and a Virtual Agent together, is how homeowners get duplicate nags. Pick one text sequence. Keep the five calls.
