How do ServiceTitan, Jobber and Housecall Pro compare on estimate follow-up?

By the Escloser team · Published · Updated

Jobber fits the shop already on Connect that wants two reminders in the plan. Housecall Pro fits the shop that wants a visual Estimates board and three resends. ServiceTitan fits the shop that wants a person working Unsold Estimates. None of them pick up the phone. Stay on the FSM you already run.

This is the split for a 2-to-10 truck HVAC, plumbing or electrical shop on one of those three whose change-outs, water heaters, and panel upgrades sit open after the visit.

What each one actually wins

Estimate follow-up is two jobs. The reminder confirms the file arrived. The callback answers the hold-up: price, the spouse, a second bid, financing, or a repair instead of the change-out. On r/ProHVACR, one shop said their estimate software already sends a day-2 text and an expiry text, and that this is standard. That is the reminder. How to follow up on HVAC estimates that haven’t closed is the call.

Prices below are from each vendor’s own pricing or help page, read 2026-10-26, unless a help article carries an earlier updated date.

Jobber wins the included reminder and the viewed ping. Housecall Pro wins the board and three resends. ServiceTitan wins the list a person works, and the SMS campaign if you pay for Marketing Pro. Nobody wins the phone.

Jobber

Jobber’s automations help, updated 2026-08-06, puts quote follow-ups on Connect and up. Two automations. Quotes in awaiting response. Same method as the original quote. You set the delay, up to 90 days, and the message. They send at the same local time of day as the original send.

Jobber pricing, read 2026-10-26: Core, 1 user, $29 a month billed annually or $49 month-to-month, with no quote follow-ups. Connect, 1 user, $99 billed annually or $139 month-to-month. Extra users $29 a month. That page also showed a promo ending 2026-10-30. The list prices above are the ongoing rates.

Quote reminders, updated 2026-02-20, sit on the schedule in red and are assigned to whoever created the quote. Work settings, updated 2026-08-11, says those reminders do not contact the client and do not appear in the app. That is your call list on every plan, including Core.

The first time a client opens the quote in client hub, admin users get a push, updated 2026-10-22. Call the viewed ones first.

Jobber Academy, updated 2026-05-28, puts the first follow-up email one to two days after send, then a week later, then before the quote expires. Its FAQ says a follow-up email is less invasive than a phone call. True of a receipt check. The spouse, the second bid, and the financing stall still need a person.

Does Jobber automatically follow up on quotes? is the click path. Jobber wins a shop already on Connect that wants two reminders in the plan. It stops at the phone.

Housecall Pro

Housecall Pro Pipeline, dated 2026-08-06, is the Estimates board. Open a card and you get CALL, CHAT, or EMAIL. Pipeline automations resend a sent estimate, First Follow-Up through Third Follow-Up, then can decline it. Quiet Hours holds overnight texts. Smart Recommendations lock the timing. Leave that off if you want 2, 4, and 7-day delays.

Housecall Pro’s pricing page, read 2026-10-26, is a questionnaire. Listed cards: Basic $59 a month billed annually or $79 month-to-month, 1 user. Essentials $149 or $189, 5 users. Max $299 or $329, 8 users, then $35 a month per extra user. Pipeline sits on that page as an add-on with no published price. The Pipeline landing-page FAQ, read 2026-10-26, still lists Basic $25, Essentials $50, Max $75, Max+ $100. Confirm in Billing.

Pipeline FAQs, dated 2026-07-15: a Voice call does not move the card. Field techs do not see Pipeline. A new rule only fires for estimates still inside that delay. Last month’s Sent pile is still a phone list. Auto-decline after Third Follow-Up writes no reason. Leave it off until someone has called.

How to set up estimate follow-ups in Housecall Pro is the click path. Housecall Pro wins the board you can see and three resends that never miss. CALL is there. Someone still has to click it.

ServiceTitan

ServiceTitan’s Follow Up screen, updated 2026-10-15, is Unsold Estimates: Open, Not Attempted, Unreachable, Contacted, Won, or Dismissed. Filter Open, sort by value, click Call the customer. The screen does not email or text. How to track unsold estimates in ServiceTitan is that list.

On r/HVAC, shops already on ServiceTitan still ask for a follow-up program, and the reply is the Follow Up tab. On r/estimators, one HVAC estimator called it a strong estimate builder with weak deal management. The screen has a status and a date. A person still has to run the cadence.

Marketing Pro, updated 2026-10-16, can send an Unsold Estimates SMS campaign, up to four texts, and stop on job booked. A Virtual Agent that texts unsold estimates is in Private Preview as of 2026-10-16 and is not on every account. Do not run it on the same audience as a Marketing Pro campaign.

ServiceTitan pricing, read 2026-10-26, is per technician and request-a-quote on Starter, Essentials, and The Works. Marketing Pro is a Pro add-on with no public price.

ServiceTitan wins the list a person works, and the SMS campaign if you pay for Marketing Pro. Default Follow Up still needs someone at the desk.

What most shops actually run

A 2-to-10 truck shop already paid for the reminder. Turn it on. Work Follow Up, awaiting response, or Pipeline every morning, highest dollar first. That is enough when someone is at the desk. It breaks the first week the owner is in attics until 7.

The estimator’s same-hour check-in is still the best first call. Field techs on Housecall Pro call from the estimate itself, because they do not see Pipeline.

Job posts from 2025 list a sales VA for estimate follow-up at about $700 a month. You still hire, train them, and check that they log the reason. Leave the FSM reminders on.

Keep Jobber, Housecall Pro, or Marketing Pro sending the reminder. Put the open estimates on a call list so someone actually dials, as the shop, from the estimator’s notes. We make Escloser, which does this, so weigh that suggestion accordingly. Ask who is on the phone, and whether a no gets a reason.

If they reply STOP, or they ask you not to call, stop that day. The FCC, updated 2026-02-27, prohibits telemarketing calls to the home before 8 a.m. and after 9 p.m. local time, and says telemarketers must comply immediately with a do-not-call request. This is not legal advice. Check with your own counsel.

Text reminders vs phone calls is that split. Do not run two SMS cadences on the same open estimate.

How to tell this week

The split is working when yesterday’s unsold estimates have a reminder and a same-day callback, lost jobs have a reason, and Friday’s open list is shorter than Monday’s. If the texts went out and the list only grew, nobody called.

Open last month’s estimates in the FSM you already run. Lay the open ones next to the phone. Turn the reminders on if they are off. Start with that list. It already exists.

Frequently asked questions

Does ServiceTitan automatically email or text unsold estimates?

The Follow Up screen, updated 2026-10-15, does not send. A person clicks Call the customer. Marketing Pro can send up to four Unsold Estimates texts and stop on job booked. A Virtual Agent that texts them is in Private Preview as of 2026-10-16 and is not on every account.

Which Jobber plan includes automatic quote follow-ups?

Connect and up. Jobber's automations help, updated 2026-08-06, covers two email or text reminders on awaiting-response quotes, same channel as the original quote. Core, one user, is $29 a month billed annually or $49 month-to-month as of 2026-10-26. Quote reminders on the schedule still appear on Core. Those remind the office to call.

Does Housecall Pro Pipeline call the customer about an open estimate?

Open a card and you get CALL, CHAT, or EMAIL. Someone has to click CALL. A Voice call does not move the Pipeline status. Housecall Pro's Pipeline FAQs, dated 2026-07-15, are that split. Field techs do not see Pipeline. Office staff and admins do.

Should I switch field-service apps just to get better estimate follow-up?

Stay on the one you already run. Turn on the reminders you already paid for, then work the open list every morning, highest dollar first. Jobber, Housecall Pro, and ServiceTitan each already cover a follow-up job. The gap on all three is the phone call.
